How to add Conference Presentations

Overview

  • All the individual presentations from a conference appear together.
  • This is achieved by grouping them together in a single ‘category’
  • The ‘category’ should be named using the name of the conference.
  • So first thing you need to do is to create the category
  • Next add a link to that category on the ‘Conference Presentation’ page.
  • Then create an individual ‘post’ for each presentation.
  • By selecting the correct category for the new ‘post’ the presentation will be automatically added to the archive list for that conference.

How to do it…..

First create the category:

  • Go to Posts/categories
  • Create a new category with the name of the conference and/or venue for example ‘ETPTA 20th Anniversary Conference’ (Remember to check first that a category for this conference hasn’t been created already)
  • When you create the new category also make sure that it is saved as a sub-category of the parent category called ‘Conference Presentations’
  • Ignore where it says ‘slug’ this will be added automatically.
  • Click ‘add a new category’ and your new category will be added to the list.

That’s the first stage completed.

Next we need to grab the URL (web address) for our new category

  • Staying in ‘Posts/categories:
  • Once your new category is added to the list hover over the title with your mouse and a sub-menu will appear that offers the following options:
    Edit | Quick Edit | Delete | View
  • Click on ‘View’
  • Copy the URL page address that appears in the address bar of your browser.
  • Paste the URL to notepad/word or similar as you will need it need for the next step.

Now we want to add the Conference title to the ‘Presentations Page’. As the name suggests this is just a simple page and easy to edit.

  • Go to main menu – Resources/Presentations
  • Click on ‘edit this page’ to open the WYSIWIG page editor.
  • Add the name of conference to the top of the list on the page.
  • Once you have typed in the name of conference, highlight it and from the drop down formatting menu, and make it a ‘Heading 3’ title.
  • With the text still highlighted click on the link icon and add the URL that you saved when creating the category.
  • Below this this text/link you can add some basic info about the conference as paragraph text.
  • Click on ‘Update’ to save the changes to the page.

Next stage is to upload the presentation files.

  • First go to ‘Media/Library’ and add the individual presentations in the normal way.
  • This will usually be PDFs but you can upload other file types (e.g. Word documents)
  • Once you have uploaded your presentation files take a note of their individual URLs. Again copying and pasting to Notepad (or another simple text editor) is useful.

Finally we want  to create a set of ‘posts’ for each of individual presentations that were part of the Conference.

  • Go to Posts/Add New Post
  • Give it an appropriate title (usually the same as the presentation title)
  • Then on the right hand side of the page you will see a panel called ‘Categories’
  • From this list select the ‘Conference Presentations’ and the name of the new conference.
  • You should see that a number of addittonal fields are added to the WYSIWIG editor.
  • Add the information as appropriate.
  • In the field marked ‘File URL’ paste the URL for the media file that you have added to media library. Only paste one URL per post.
  • Tags – Because the presentation is a .PDF file WordPress is unable to read the content so to allow a degree of searchability you will need to add ‘Tags’ to the post. These can be anything appropriate, but ideally they will be single words or phrases that appear in the content of the PDF. You can add as few or as many tags as you which. Tags are not essential but they will help readers search the site for relevant content.
  • Once finished click on ‘Update’ to save the changes to the page.

And that should be it. The individual presentation ‘posts’ will attach themselves to the appropriate category (the venue) and all the formatting will be applied automatically.
